How do I organize boarding confirmations, deposit receipts and vaccination uploads when my two dogs stay at different facilities on the same trip?

Published October 25, 2026

The short answer

Give each dog a separate folder for that dog's own facility, holding only its booking confirmation, its deposit receipt, and its vaccination upload for that stay, labelled with the dog's name and the facility name together. Never pool the trip paperwork, because two facilities mean two confirmations, two balances, and two sets of vaccination requirements that can differ. Build a short departure checklist per dog and work through each one independently before either drop-off. KinsLe's Pet Passport supports the split, since each dog carries a separate records packet, letting you hand either facility exactly that dog's documents and nothing belonging to the other.

Two dogs at two facilities on one trip sounds like one job until drop-off morning, when a confirmation for the wrong facility, a receipt in the other dog's name, or a vaccination upload sent to the wrong portal turns a packed car into a sorting exercise. The defence is separation from the very start: nothing for the trip lives in a shared pile, on paper or on your phone.

One Folder Per Dog, Per Facility

Create a folder for each stay, named with both identifiers together, the dog's name and the facility's name, so no document can drift into the wrong stay without its label looking wrong. Into each folder goes only that stay's paperwork: the facility's booking confirmation showing the dog's name, the arrival and collection dates, and any balance still to pay; the deposit receipt for that booking, matched to that confirmation; and the vaccination record or upload acknowledgement that facility requested. If one facility boards both dogs on a different trip, make fresh folders for that trip anyway, because dates and balances change and last trip's confirmation is this trip's confusion. Keep digital and paper copies in step: a folder on your phone or computer mirroring the paper folder, with identical names, so whichever copy you reach for tells the same story.

Confirmations and Receipts That Can Be Matched at a Glance

Facilities word their paperwork differently, and that difference hides errors. When each confirmation arrives, read it against your booking straight away: correct dog, correct facility branch if the business has more than one site, correct dates against your travel days, and the deposit amount agreeing with the receipt filed beside it. A mismatch found at booking time is an email; the same mismatch found at a reception desk with a plane to catch is a crisis. Where a facility confirms by portal or app rather than by document, save or print the confirmation screen into the folder so your record does not depend on logging in under pressure. Note on each folder's front what remains outstanding for that stay, such as a balance due at collection, so the two totals never blur into one remembered figure.

Vaccination Uploads Without Crossovers

Vaccination paperwork is where crossovers hurt, because facilities set their own requirements and their own deadlines for receiving proof. Upload or send each dog's vaccination record only to that dog's facility, then file the acknowledgement, the sent email, or a dated note of the portal submission inside that dog's folder, so you can prove what was sent, where, and when without reopening two portals in a car park. Check each facility's requirements separately rather than assuming symmetry: one may ask for records days ahead, the other may accept them at drop-off, and treating the stricter rule as the shared rule is the only safe shortcut. If both dogs share one vet record printout, copy it into each folder and mark which dog each copy concerns, since a combined document handed over whole invites a busy receptionist to file it under the wrong name.

A Departure Checklist Per Dog

Write a short checklist for each dog and pin it to that dog's folder: confirmation checked, deposit receipt filed, vaccination proof acknowledged, food and any medicines packed and labelled for that facility, collection time noted, and the facility's phone number saved. Work through one checklist completely before starting the other, and load the car in the same order you will drop off, with the first dog's bag and folder reachable first. When you return, file the final invoices in the same folders before you unpack anything else, while the trip is still fresh. KinsLe mirrors that per-dog discipline digitally, as each Pet Passport belongs to one dog alone, so vaccination records and vet details travel in separate packets that match the separate folders on your shelf.
